Terms & Conditions

The Travel Chronicle Inc. (TTC) produces the Epic American West Tour. The tour runs between the borders of Mexico and Canada, passing through the states of New Mexico, Arizona, Utah, Colorado, Wyoming, and Montana, three times per year. There are three possible trip durations:

30 days – Complete Tour

16 days – Southern Segment (Space Available)

14 days – Northern Segment (Space Available)

Single Supplement – 20%

Complete Tour = 5% Discount

Included:

All ground transportation for the advertised itinerary, including airport transfers

Nightly accommodations, including arrival date

Breakfast and lunch daily

Fees and/or entry tickets for all advertised destinations

Additional tours and activities as described on final itinerary

Basic travel insurance

Guest(s) shall be solely responsible for examining the travel insurance coverage provided by TTC, and determining their need for additional coverage.

Not Included (Examples):

Airfare

Dinners

Snacks or drinks separate from meals

Gratuities for auxiliary driver

Alcoholic beverages

To begin the process of reserving a place on a particular tour, we and your travel provider will ask you to fill out and sign a subscription agreement. The form can be accessed at the bottom of this page.

Cost of Subscription - $100 per person.

If tour is not fully subscribed ninety days prior to departure date, fee will be refunded. If Guest(s) withdraw, there is no refund.

Upon notice of full subscription by thirty guests (or less at the sole discretion of tour operators) a non-refundable* deposit of 50% of the total cost of the subscribed tour will be due within ten days. Guest(s) shall be solely responsible for examining the travel insurance coverage provided by TTC, and determining their need for additional coverage. A non-refundable final payment, minus the subscription fee, is due thirty days prior to the scheduled start of the subscribed tour. We will send you or your travel provider invoices for all payments.

The basic route of the tours is set, but there is some opportunity for minor adjustments depending on the interests of each particular group. In order to maintain some flexibility, please assume that arrival and departure dates may be adjusted by a day or two until after the tour is fully subscribed and the final itinerary has been published. Because the final itinerary may vary slightly, and since there is no guarantee that a particular tour will be fully subscribed or that space will be available if you have requested only one segment of the tour, guest(s) are solely responsible for any costs incurred prior to confirmation. In other words, don’t buy your airplane tickets yet.

We are currently accepting subscriptions for all 2017 tours. (See dates below.) All subscriptions are recorded on a first come/first serve basis.

Joining the Tour:

When you are ready to fill out and return your subscription agreement, use the information under the heading "Choosing Your Tour" to assist you in finding your preferred “Leaving from” location, date, and tour duration. You may then contact us or your travel provider for the subscription form for your country, which you may print, or fill out electronically. If you would like to return the form via email by scanning and attaching it, or by emailing it directly from the form itself, please contact us to obtain the correct email address. You should receive an automated response which will make this security step very quick and easy.

The following directions work for both the Subscription Agreement and Option Preferences Form:

If you prefer to have a paperless transaction, it is simple to fill out the form and email it directly. Start by downloading and opening the file, and enlarging the percentage until it is easy to read. Click on the “Sign” button at the upper right, and choose the “Add Text” option to get started. The cursor looks like an upside-down T, so use the horizontal line at the bottom to align with the line you would like fill, click, and you are ready to type.

The font type doesn’t matter, but a font size of 10 is a good choice.

For the subscription agreement, add your initials and signature where needed.

Don't forget to save the file(s) for your records.

When you are finished, you can click the envelope icon to email it with your own software, or use the “Send Signed Document” button if you want to use the Adobe service. In either case, use the address we sent you.

If you do not get a confirmation email or call from us (usually within 48 hours), we did not receive your subscription agreement. Please call us so that we can check for any problems at our end before trying to send it again.

Thank you for joining our tour; we will contact you as soon as we have your subscription agreement.

Security and Privacy:

1. The Travel Chronicle Inc. does not process, and has no access to, any credit card or other private payment information.

2. Information on Subscription Agreements is not shared with any third parties except for insurance purposes. Subscription Agreements are not not stored on any computer, and are therefore not accessible from the internet.

3. Your email address is used only for communications related to the tour, and is not shared with any third party without your written consent.

ONLINE PAYMENT OPTION:

We will send an invoice via email for your Subscription Agreement Fee and subsequent deposits. The invoice will include a link which will allow you to pay by credit card through Paypal.
